The College of Engineering is sharing the following action items for all student organizations:
- Space Allocation/Re-Allocation: All CENG clubs/IRAs using CENG rooms/storage, etc., must complete the space allocation/re-allocation form.
- Safety & Hazard Assessment: All CENG IRAs, ASI Clubs conducting build activities, and/or student organizations requesting designated space for the 2025-26 academic year must complete the Student Organization Safety & Hazard Assessment as a part of the funding and space evaluation process.
Both forms are due April 4.
These processes help with our goal to distribute resources equitably and to ensure that all student organizations continue to engage in Learn by Doing activities in a safe manner.
Information about the Space Allocation Process
There are three types of spaces that are a part of the space allocation process:
- Project: Space where a combination of build/test and meeting activities take place.
- Office: Space exclusively dedicated to meetings, storage and social events with no significant manufacturing or project work.
- Storage: Space designated exclusively for storage of items.
Process and Timeline for Space Allocation
Once all space allocation/re-allocation forms are received (April 4), summary sheets overviewing each space application will be made publicly available for review and comment on April 7. This year, we will be requesting two different types of student feedback.
- Each primary student point of contact for a student organization who applied for space will be asked to complete five peer evaluations. These reviews will be assigned on April 7 and due on April 18. These peer evaluations include the assessment metrics listed below in this email and this process is intended to empower student voices in the space evaluation process.
- A public comment form will be available to all College of Engineering students to further empower student voices in the space evaluation process.
Both the public comment and peer evaluations will be used to inform final allocations, which will also be presented to department chairs and Engineering Student Council for input. We plan to minimize the number of relocations.
Space assignment information will be released May 16, along with information on the process for accessing any assigned space. Any potential relocations will be coordinated on a case-by-case basis during the late spring and summer.
Space applications will be evaluated based on the criteria developed together by student organizations and Engineering Student Council. They include: organization size, history, alignment with the CENG strategic vision and core values, and the effectiveness and operational importance of each organization’s space usage.
Information about the Student Organization Safety & Hazard Assessment Process
The safety form requires approval signatures from your student organization’s faculty adviser, department chair and department technician. Please ensure you leave sufficient time to review the assessment with all parties. If your organization is not associated with a department, please list zwood@calpoly.edu as the department chair and llaiho@calpoly.edu as the department technician.
